STANDING RULES LWML FLORIDA – GEORGIA DISTRICT March 2023

1. TRAVEL: Reimbursement rates are 50 cents per mile for board members, with carpooling encouraged and air travel booked in advance to utilize lowest fares.

2. FOOD ALLOWANCE: Up to $10 for breakfast, $12 for lunch, and $15 for dinner, with a maximum of $37 per day, and additional reimbursements limited to one meal before and one after a meeting.

3. OVERNIGHT ACCOMMODATIONS: Require prior approval from the president, with room occupancy determined by the executive committee and individuals responsible for incidental charges.

4. EXPENSES: Under $50 do not require prior approval, but receipts are mandatory, and requests for reimbursements must be submitted within 30 days of an event.

5. MONIES RECEIVED: Must be forwarded to the Financial Secretary for deposit, with no expenses reimbursed out of monies received.

6. ENDOWMENT FUND: Gifts designated for the fund will be placed in a separate account, with income earned applied toward Mission In-reach expenses.

7. EXCESS MISSION IN-REACH FUNDS: Excess funds will be paid to the District Mission Grants Fund, with distribution voted upon by delegates at the next district convention.

8. MISSION GRANTS: Monies sent for mission grants will be deposited into the District Mission Grants fund, with no designation to a specific grant allowed.

9. EVENTS: Conventions will be held in even-numbered years, and retreats in odd-numbered years, with locations recommended by the executive committee and approved by the board.

10. EVENT THEME/LOGO/BANNER: The executive committee will establish the theme, with a visual interpretation solicited from the general membership.

11. EVENT RESPONSIBILITY: Certain committees and individuals will have their registration, meals, and housing fees reimbursed or waived.

12. REGISTRATION FEES: The finance committee will submit an event budget for approval, with reduced fees for pastors and Young Woman Representatives.

13. DISTRICT JOB DESCRIPTIONS: Will be reviewed and updated as needed.
